Requirements from participating universities: 

To ensure the success of the free SynergyXR University Package and maximize value for both your institution and the platform, each selected university agrees to the following:

  • Designate a Single Point of Contact (SPOC) Appoint one official representative (faculty member, instructional designer, or administrator) who will serve as the primary liaison for all program communications, onboarding, support, reporting, and coordination.

  • Enroll in a Minimum Number of Classes/Courses Integrate SynergyXR into at least [X] courses or classes per academic year (e.g., 5–10 courses, depending on your preference). This includes making the platform available to enrolled students and faculty.

  • Develop XR Training Content Actively develop and deploy at least [Y] custom XR training modules, simulations, or interactive experiences on the SynergyXR platform during the pilot period.

  • Utilize Self-Service Support Resources All training, troubleshooting, and platform guidance will be provided exclusively through SynergyXR’s self-study learning materials and online Knowledge Base. The university agrees to direct all users to these resources.

  • Participate in Onboarding and Training The SPOC and key faculty/staff will complete the initial virtual onboarding session and required self-paced training modules.

  • Provide Periodic Usage Feedback Share basic usage data and participate in short feedback surveys or check-in calls (quarterly) to help SynergyXR improve the platform for educational use.

  • Promote Internal Adoption Actively promote SynergyXR within relevant departments to encourage faculty and student engagement.

  • Maintain Compliance & Data Privacy Ensure all use complies with FERPA, institutional policies, and data protection regulations. The university is responsible for managing user accounts and student data within the platform.

  • Acknowledge the Pilot Nature of the Program Participate in good faith as part of this limited pilot, with the understanding that continued free access after the initial period is not guaranteed.

SynergyXR General Terms and Conditions apply

Limited Offer SynergyXR is offering a completely free University Package to 10 accredited universities and colleges in the United States.

Program Terms

By applying for and accepting this free package, the institution agrees to the following:

  • Educational Use Only The SynergyXR platform may be used solely for academic, teaching, research, and non-commercial educational purposes by students, faculty, and staff of the participating institution.

  • Fair Use & Responsible Usage Access is provided under a fair-use educational license. The institution agrees not to:
    • Use the platform for commercial, revenue-generating, or for-profit activities
    • Resell, sublicense, or share accounts/access with external organizations or individuals
    • Exceed reasonable usage limits (to be defined in the final agreement)
    • Attempt to reverse-engineer, modify, or extract proprietary elements of the platform

  • Single Point of Contact (SPOC) Each participating university must designate one official representative (typically a faculty member, department chair, or IT/administrative lead) who will serve as the sole point of contact for all matters related to the program, including onboarding, support requests, usage reporting, and communications. All official correspondence will be directed through this representative.

  • Duration The free package is offered for an initial period of [24 months / one academic year – update as needed]. At the end of the pilot period, SynergyXR may offer continued access, upgraded licensing, or other partnership options.

  • Compliance The institution must comply with all applicable laws, including FERPA, data privacy regulations, and accessibility standards. SynergyXR reserves the right to suspend or terminate access if these terms are violated.

  • Selection & Availability This offer is limited to the first 10 qualifying U.S. institutions that complete the application and are approved. SynergyXR reserves the right to select participants and decline applications at its sole discretion.

  • Termination Either party may terminate participation with 30 days’ written notice. Upon termination, access to the platform will be discontinued and any institution data will be handled according to our standard data retention policy.

  • Volume The free SynergyXR University Package includes 1000 seats, 1 workspace (backend), 100 procedure builder seats

  • Commitment to self-onboarding Participating universities must commit to self-onboarding through SynergyXR’s available enablement resources. This includes using our training packages, webinars, video catalog and knowledge base.
